Creating and Downloading documents and drawings in the Project Space
About which of the following points do you have questions?
You would like to know how to create drawings in the Project Space?
Please make sure that your drawings have been named according to the current drawing code:
The drawing code is stored in the Project Space. The file path varies from project to project. Usually you will find the drawing code in the folders containing general project information. You can receive further information from the project administration.
- Open the "Drawing Management" application.
- Select the function "Upload drawings".
- Confirm acceptance of the security certificate in any case with "Yes" or "Always". If you have selected "Always", you will no longer be asked this in future.
- Click on the "green plus" sign.
- In the following window displayed, select the drawings on your local system and add these to the selection window with "Open".
- Now click on "Start".

Update the drawing list by displaying the "Current drawings" at "My drawings" on the left side or select the "Refresh" option under "View" in the menu bar.
Note: Java is required for this function.
The drawings will be compressed automatically prior to transfer. It is NOT necessary to zip your drawings ahead of time.
You can also add you drawings via "drag & drop" to the selection window (see Point 4. + 5.). To do this, mark the documents, drag them over to the selection window by holding the left mouse button down and then drop them by releasing the left mouse button.
You would like to create a single document (all documents except for drawings, for example, protocols, lists, correspondence, appraisals, etc.) in the Project Space?
Please make sure that your documents have been named according to the current document code:
The document code is stored in the Project Space. The file path varies from project to project. Usually you will find the document code in the folders containing general project information. You can receive further information from the project administration.
- Go to the "Documents" application.
- Navigate left in the document tree to the target folder in which you want to save the document and click it.
- Call up the pull-down menu via the "New" icon and select "Document". Alternatively, you can also click on "Create a document" in the lower left corner of the "I want to ?" menu.
- Using the "Browse" button, select the document which you would like to save from your local computer to the project space.
- 5. The "Name" of the document is automatically taken over from your file. If necessary, you can manually change the name.
- If necessary, enter a "Description" for your document.
Note: If a document with this name already exists in the project space, a new version or draft will be created. In this case your given description will be set as description of the version.
Note: The target directory in the Project Space has default settings which the document automatically assumes when it is uploaded. They determine permissions, notifications and categories for the document. - Set the "Mandatory categories" if defined for the project.
- If necessary set further categories or keywords under "General settings".
- Under "Security" you can see which groups obtain permissions to your document. These groups will subsequently be able to access your document via the folder structure of the project.
Note: You can give read permissions on your document to additionally groups by notifying those via conversation in one step when uploading the document (see the following passage). These groups can then access the document via the attachment of the conversation, but not via the folder structure as there is no permission for these groups.
Under "Conversation" you can additionally distribute the document as an attachment of a conversation in order to inform project participants:
- Activate the checkbox at "Conversation" in order to make the conversation option available.
- Select the recipients with a click in the "To" and "Cc" input fields.
Note: The conversation option is automatically available if recipients are set by the default settings of the folder. In this case those recipients are already set in the "To" input field. But of course you can adjust the recipients. If you do not want to send a conversation, simply uncheck the "Conversation" checkbox. - Enter a "Subject" and your "Message" or use the default text.
Note: Using the "Template" drop-down menu you can select a personal conversation template. For further information about conversations and templates please read our manual communication management. - Complete the process by clicking on "Upload". Your conversation will be stored in the "Communication" application.
Note: All recipients will be notified by e-mail. Clicking on the links contained in this notification you can directly jump in the project to the corresponding conversation or attachments in the folder tree.
Recipients who do not have permissions on the document under step 9 in the "Security" settings will automatically obtain reading permissions. Thus they can now access your document only via the attachments of the conversation or using the search or the views.
Note: If you do not see the file directly, click on "Refresh" in the "View" menu.

You would like to create several documents (all documents except for drawings, for example, protocols, lists, correspondence, appraisals, etc.) in the Project Space?
Please make sure that your documents have been named according to the current document code: The document code is stored in the Project Space. The file path varies from project to project. - Go to the "Documents" application.
- Navigate left in the document tree to the target folder in which you want to save the document and click it.
- Call up the pull-down menu via the "New" icon and select "Multiple documents".
- Confirm acceptance of the security certificate in any case with "Yes" or "Always". If you have selected "Always", you will no longer be asked this in future.
- Click on the "green plus" sign.
- In the following window displayed, select the documents on your local computer and add these to the to the selection window with "Open".
- The "Name" of the documents is automatically taken over from your files on your computer.
- If necessary, enter a "Description" for your document. The description will be set for all documents.
Note: If documents with the same name as the chosen files already exist in the project space, a new version or draft will be created. In this case your given description will be set as description of the new version for all existing documents.

Note: You can also add you drawings via "drag & drop" to the selection window (see Point 5. + 6.). To do this, mark the documents, drag them over to the selection window by holding the left mouse button down and then drop them by releasing the left mouse button.
Java is required for this function.
If you do not see the file directly, click on "Refresh" in the "View" menu.

You would like to update a single or multiple files?
- Check the document which you want to update.
- Click on the "New version" button in the tool bar.
- Proceed with step 4 of the Single Upload functionality. Varying from this procedure the name, categories and key words (steps 5, 7 and 8) are taken over from the existing document and can thus not be changed.
- Use the conversation option to inform project participants about the new version concurrently.
Note: You can use the "New version" function from the "Files" tab of the document properties as well.
Note: Using the functions Single Upload or Multi Upload you can update the version of a single or simultaneous of multiple documents in a folder.
Important: Keep in mind that the names of the files on your computer are equivalent to the document names (including the file extension/suffix) in the project space. Otherwise new documents will be created.
You would like to inform project participants of new and/or updated documents?
Then you have the following options:
Sending a conversation when creating documents:
- For a single document: Please refer here from section Conversation.
- For multiple documents: Please refer here from section Conversation.
Sending a conversation after creating documents:
- Select the document(s) desired.
- Via "Attach to..." call up the pull-down menu and select "New conversation".
- A new conversation will open.
- Enter the recipient, the subject, the text of your message and, if needed, the categories, and send your message with "Send".

Note: Use conversation templates to simplify your work.
You would like to inform project participants of new and/or updated drawings?
To do this, please send a conversation:
- Open the "Drawing Management" application and the select the drawing(s) desired.
- Call up the pull-down menu using the button "Send with ..." and select "New conversation".
- A new conversation will open.
- Enter the recipient, the subject, the text of your message and, if needed, the categories, and send your message with "Send".

You would like to download documents?
You would like to download a single document?
- Go to the "Documents" application.
- Navigate on the left in the document tree to the folder in which the document is located and mark it.
- Click on the "Download" button in the toolbar.
- In the next step, select "Save", to download a copy onto your local system or "Open" to open the document with the corresponding program.
You would like to download multiple documents?
- Go to the "Documents" application.
- Navigate on the left in the document tree to the folder in which the documents are located and mark it.
- Click on the "Download" button in the toolbar.
- Confirm the message which now appears with "OK" to begin downloading. If you would like to download the documents with the folder structure, place a checkmark by the option "With folder structure".
You would like to download a single drawing?
- Go to the "Drawing Management" application.
- Filter out the desired drawing and mark it.
- Click on the "Download" button in the toolbar.
- In the next step, select "Save", to download a copy onto your local system.
You would like to download multiple drawings?
- Go to the "Drawing Management" application.
- Filter out the desired drawings and mark them.
- Click on the "Download" button in the toolbar.
- Confirm the message which now appears with "OK" to begin downloading. If you would like to download the drawings with the folder structure, place a checkmark by the option "With folder structure".
You were notified via e-mail about new documents or drawings in the Project Space?
Your notification e-mail contains each a link to the conversation with the message and to all attachments of the conversation:
Download attachments:
- Click on the link for the corresponding attachment in the e-mail. You will be directed to the login page and be prompted to enter your user name and password. if you are already logged skip this step.
- After successfully logging in, you will be automatically directed to the corresponding documents.
- Click on the "Download" button with the green arrow to begin downloading.
Read the conversation and download the attachments:
- Click on the link for the conversation in the e-mail. You will be directed to the login page and be prompted to enter your user name and password. if you are already logged skip this step.
- After successfully logging in, you will be automatically directed to the corresponding conversation in the communication application.
- "Open" the conversation with the corresponding button of the tool bar and read the message on the "Content" tab.
- Go to the "Attachment" tab and mark the files which you want to download.
- Click on the "Download" button with the green arrow to begin downloading.
You were notified via e-mail about a new message/conversation in the Project Space?
Your notification e-mail contains a direct link to the conversation with the message:
- Click on the link in the e-mail. You will be directed to the login page and be prompted to enter your user name and password. if you are already logged skip this step.
- After successfully logging in, you will be automatically directed to the corresponding conversation in the communication application.
- "Open" the conversation with the corresponding button of the tool bar and read the message on the "Content" tab.
- If documents or drawings were attached to the conversation, go to the "Attachment" tab.
- Mark the files which you want to download.
- Click on the "Download" button with the green arrow to begin downloading.
