Communication and Notifications
About which of the following points do you have questions?
You would like to send a message to a project participant?
You can carry this out by sending a conversation:
- Go to the "Communication" application.
- Call up the pull-down menu via the "New" icon and select "Conversation".
- Choose a recipient by clicking either on the "To" or "Cc" button.
- A selection list of potential groups and project participants to whom you can write will appear. Select your recipients with the green plus symbol.
Alternatively you can simply type in recipients into the "To" or "Cc"field as you are used to do it in MS Outlook. As soon as you start typing our system shows you all matching recipients. conjectPM recognises group names as well as first names, surnames and company names. - Enter "Subject" and "Message".
- If needed, assign categories if they are used in your project.
- You can attach drawings or documents from the Project Space to your conversation. Add these using the green plus sign in the "Attachments" tab.
- Click on "Send".
Note: Please try to send messages to groups instead of individuals. That way, you will avoid leaving out any important recipient.
You can also send conversations to external recipients who do not participate in the Project Space. You will find further information here.
You would like to reply to a message?
- Go to the "Communication" application.
- Select the corresponding message.
- Click on "Reply to all" in the menu bar.
- Enter your response in the message field.
- Remove or add recipients of your reply. You will find further information here under steps 3 and 4.
- In the "Attachments" tab you can attach drawings or documents from the Project Space to the message. You will find further information on sending documents or drawings here.
- Post your contribution with "Send".
You would like to reach external contacts?
You can also send messages to external recipients who are not participants in the project.
- Start a new message as usual. You will find further information here.
- Go to the "Recipient" tab.
- Type the e-mail addresses of the external recipients into the "To" or "Cc" field.
- In the "Attachments" tab you can attach drawings or documents from the Project Space to the message and send to external recipients. You will find further information on sending documents or drawings here. Please note that you can send a maximum of 20 MB to external recipients.
- Complete the procedure with "Send".
You need a template for your messages?
If you would like to send messages to an identical circle of recipients and/or with the same content, you can simplify your work with a message template:
- Go to the "Communication" application.
- Click on "Settings" in the menu bar. The "Communication Settings" page will be displayed.
- Now click on "New template" under "My templates".
- Fill in the template as you wish with recipients, subject, a message, categories and attachments.
- Complete the procedure with "Save". Your template is named after the subject of the template.
- To use a message template, open a new message and click in the header of the message in the drop-down menu "No template". A drop-down menu will open in which you can select from all the templates you have stored.
- Choose a template and modify it if needed.
- Complete the procedure with "Send".
Note: In the "Communication Settings" you can change, delete or create new templates.
You were notified about new documents via e-mail, but you do not access to those documents?
You click on a link to an attachment in the notification e-mail, but you are not directed to the corresponding document in the project space:
The creator of the documents notified you via a message about new or updated documents. Concurrently you do not have any permission on the folder where these documents are filed.
Please use the link for the message instead of using the link for a an attachment in the notification e-mail and download the documents via the attachment tab of the message. For instructions please click here.
If you need access to the corresponding folder, please contact the project administration or our Support Team to ensure that the permission to access the documents are assigned to you.
You are not being notified about new documents, drawings or activities in the Project Space?
The following reasons are possible:
The notification function has been deactivated
Please check whether or not the notification function is activated in your project:
- Go to the "Administration" application.
- Click on "My participant profile".
- Check whether the option "Block notification" is activated. If necessary, please remove the checkmark for this option and apply with "Save" to activate the notification function.
You are not included as a participant in a group designated for the notifications. Please contact the project administrator or our Support Team.
Notification e-mail are filtered by your Spam-filter and could therefore not delivered correctly to your inbox. Please ask your system administrator for support.
Notification from conjectPM are send via BCC. This means that the recipients of a notification are adressed via the BCC-field of the e-mail. Your mail server does not support this functionality and therefore rejects the receipt. Please ask your system administrator for support.
